Introduction to MyUniTree

Your society. More connected. The original visual organiser guide.

MyUniTree organiser support

For Queen’s clubs & societies

Your society.
More connected.

Bring your events, sign-ups and members together on MyUniTree. Here’s how to get started.

This guide is public. You don’t need an account to read or share it.

Your organiser hubDemo

Your events at a glance. Tap any screenshot to take a closer look.

Why MyUniTree?

Less admin. More time for your society.

One student-led home for your events, members and updates.

Verified student IDs

Fewer mistyped numbers. We verify student IDs through their university account.

Forms that fill themselves

Account details fill in automatically, so students spend less time typing.

Keep your ticket provider

Keep FIXR for tickets, payments and fees. Students can open ticket selection right here. See it in action →

Keep people in the loop

Automatic reminders and email or WhatsApp updates, following their notification preferences.

See what’s working

Track campaign opens, clicks and CTR, with channel breakdowns where available.

Student-led. All in one place.

Clubs, societies and events together. Built around students, with students.

01 · Your account

Get into your organiser hub.

Use your own organiser account. Access is linked to the club or society you help run.

1

Already have an account?

Open Organiser login and enter the email and password for your organiser account. Verify your email if prompted, then open your Admin Hub.

Forgotten your password? Enter your email on the login page and choose Forgot password? Check your inbox and junk folder.

2

First time here?

Choose Create account, verify your email, then request access to your existing club or society listing. Include your committee role and an official contact or page we can check.

We verify who manages a listing before giving access. Creating an account alone doesn’t grant organiser access.

3

Can’t see your society?

Email info@myunitree.com with your society name, account email and committee role. We can help with missing listings, new committees and access problems.

Please don’t share a committee member’s password. Ask us to connect the right people to the society.

02 · Your next event

Ready to share?
You’re in control.

In the Admin Hub, open Events → Create event. There are three short steps:

  1. Key details. Title, date, time, venue and price. Add named prices such as member and non-member if you need them.
  2. Make it yours. Write a description or try the AI writing helper. A photo is optional; we can choose an illustrative image from our catalogue.
  3. Choose sign-ups. Use a MyUniTree form, link to your existing booking provider, or choose no form.

Publish from your verified organiser account, then use Share to send the event link to your members. You can return to edit or remove your event. After it ends, use Feedback & photos to see feedback and manage event photos.

Open your organiser hub ↗
Build your sign-up formDemo
MyUniTree forms keep sign-ups in your hub. Add questions and a sign-up limit, and keep your existing payment provider if needed.

Your tickets, connected

Already using FIXR? Keep it.

Add your FIXR event link when choosing your event’s booking provider. Students tap Buy tickets and choose their tickets in a pop-up on MyUniTree. FIXR handles tickets, payments and fees.

1 · Your event on MyUniTree
Students discover your event and tap Buy tickets. Tap the screenshot to take a closer look.
2 · FIXR tickets open here
The FIXR pop-up shows ticket prices and availability, ready to choose tickets and continue to checkout.

Just provide your FIXR event link—there’s no extra widget code for your committee to set up. Adding an event to My Plans is separate from buying a ticket.

03 · How we find your events

Post once. Help more people find it.

We check connected public Instagram accounts and selected official event pages. AI helps read captions and available poster images; we check the event details, audience and duplicates before eligible imports go live.

Want us to check sooner?

Open Events → Scan my Instagram for new events. It checks your connected, verified Instagram account and shows progress and the result.

Each connected account can request one scan every 24 hours. Keep your account public and tell us if your handle changes.

For a specific post, copy its public link and send it in a text DM to @myunitree from your connected organiser account. Paste the link rather than sending a post attachment.

Checks depend on source availability and may miss posts or hold unclear details. Need a listing live right away? Create it directly in your hub.

A clear caption makes a big difference.

Put the essentials in text alongside your poster:

  • Event title and full date, including the year
  • Start time, and finish time if known
  • Venue, room or meeting point
  • Price, booking link and who can attend
  • Each date for recurring sessions or separate events

04 · Beyond the event

A home for your community.

Memberships that stay organised

Choose a MyUniTree membership form or keep an external form. With MyUniTree, collect the questions you need and verify student numbers when you ask for them. Paid memberships can still use your existing payment provider.

Keep people in the loop

Share your society’s membership link and send useful updates to eligible members, followers or event guests. Email and WhatsApp follow each person’s notification preferences and availability.

Make your page feel like you

Update your society details and page photo in Details. Add an optional featured banner and share your public society page with your members.

05 · We’re here to help

Let’s make it work for your society.

Something not working?

Email us and we’ll take a look. Include:

  • Your club or society name
  • The event, society or Instagram post link
  • What happened and what you expected
  • A screenshot and your browser/device, if useful

Never send passwords or verification codes. Keep other people’s personal details out of screenshots.

Email info@myunitree.com ↗
30 minutes · A friendly conversation

See it with us.

Ask questions, get a walkthrough, set up your society or explore how we can work together. Bring your next event or membership form and we’ll talk it through.

Choose a time on Calendly ↗

Opens our booking page. Choose a slot that suits your committee.

A few quick answers.

Do we need to stop using our current ticket provider?

No. Link to your existing booking or payment provider. You can also use MyUniTree forms for sign-ups or memberships while keeping payments with your current provider.

Will every Instagram post become an event?

No. We need a public, readable source and enough clear event details. Recaps, membership adverts and posts without a confirmed event aren’t necessarily listings. Check your hub after a scan and add missing events directly.

What if our committee or Instagram handle changes?

Email info@myunitree.com with your society name and the change. We’ll help verify the new organisers or account so the right people keep access.

Is MyUniTree part of Queen’s University or the Students’ Union?

MyUniTree is an independent platform. We help students discover clubs, societies and events; we’re not Queen’s University Belfast or Queen’s Students’ Union.

MyUniTree organiser support

For your committee

  • Keep your ticket provider. Use FIXR or another provider for payments and fees.
  • Useful updates. Email and WhatsApp campaigns reach eligible users according to their notification choices.
  • See what works. Review campaign engagement, event feedback and approved event photos.

For your members

Students can find societies in one place, follow updates, save events to My Plans and share their experience after attending. MyUniTree is student-led, with committee feedback shaping what we build.

Understand followers and members

These are different ways students connect with you.

MyUniTree organiser support

Followers

People follow your society to keep up with it. Their notification choices affect which updates they can receive. Open Followers in your hub to see the available follower information.

Members

People complete your membership process, which may use a MyUniTree form or an external provider. Following alone does not complete membership.

Event guests

People can add an event to My Plans, register through a form or buy a ticket. These actions are distinct and should not be treated as interchangeable.

How users connect

Students can add events to My Plans and choose notification settings. Event and organiser updates use the contact details and permissions available for each user. WhatsApp availability depends on their verified number and choices; email is used where eligible.

What your committee should do

  1. Keep the event’s date, time, location and joining instructions accurate.
  2. For an important change or cancellation, send a clear update to the appropriate eligible audience.
  3. Check delivery results rather than assuming every recipient received a message.

Handle member details and shared content

Keep committee access and community content respectful.

MyUniTree organiser support

Collect what you need

Only add form questions needed to run your society or event. Limit access to authorised committee members, and do not publish member lists or private answers.

Respect sharing choices

Private event memories stay private. Shared notes are subject to community checks. Attendee photos need an explicit sharing choice and organiser approval before they enter the public album.

Look after access

Use your own account, keep verification codes private and tell us when committee roles change. Report unexpected access or exposed information promptly.
